AI Email Triage • Self-hosted on Make + Claude

Your inbox, sorted and half-answered, before you open it

The Inbox Engine reads every new email, sorts it into six clear buckets, logs it to your tracker, and writes a reply draft in your voice. You review and send. It never sends on its own.

What the Inbox Engine does

It turns a noisy inbox into a short, sorted list with replies already waiting for your review.

Most triage tools either dump everything into folders or try to answer for you. The Inbox Engine does neither. It reads the email, decides what kind of message it is and how urgent, writes the result to a tracker you can search, and drafts a reply only when a reply is genuinely safe to write. The hard calls stay yours.

  • Sorts into six buckets so you see what matters in one glance
  • Flags priority high, medium, or low, with a one-line reason
  • Logs every email to Notion or Airtable as a searchable record
  • Drafts replies in your voice and saves them to Drafts
  • Never sends anything, ever, on its own
  • Leaves money and sensitive mail logged but undrafted, on purpose
  • Works with Gmail or Outlook and runs on your own accounts
  • Uses your own Claude key so your email stays in your control

Six buckets, one glance

Money

Invoices, contracts, quotes, payment issues. The decisions worth real attention.

Client

Active work from people you already serve. Drafts get written here.

Reply needed

Real questions and inbound leads that need your words. Drafts get written here too.

Waiting on

Replies and nudges on things you are owed. Logged so nothing slips.

FYI

Receipts, confirmations, newsletters you chose. Logged, no action expected.

Noise

Cold pitches and mass mail. Logged so you can clear it in seconds.

How it works

  1. Watch. Every new email flows into the engine on a schedule you set.
  2. Classify. Claude reads it and assigns one bucket, a priority, and a short reason.
  3. Log. A row lands in your Notion or Airtable tracker, searchable forever.
  4. Draft. When the email is a routine reply or a client message, Claude writes a reply in your voice.
  5. You decide. The draft waits in your Drafts folder. You read, edit if needed, and send.

Who this is for (and not)

Built for

  • Solo operators and freelancers losing hours to inbox sorting
  • People already on Claude who want to put it to work
  • Anyone who wants drafts to review, not an autopilot that sends
  • Owners who want a searchable record of what came in

Not for

  • Teams needing a shared, multi-agent help desk
  • Anyone who wants email answered and sent with no review
  • People unwilling to spend 30 to 45 minutes on a one-time setup
  • Inboxes where every message is too sensitive to draft

FAQ

What exactly do I get?
A ready-to-import Make blueprint, the two Claude prompts that power it (classify and draft), a Notion tracker template and an Airtable version, and a step-by-step setup guide. Everything arrives on an access hub by email within minutes of purchase.
Does it send emails on its own?
No. The engine only writes drafts and saves them to your Drafts folder. Nothing leaves your account until you read it and click send. Money and sensitive mail are logged but never drafted, on purpose.
Do I need to be technical?
No terminal or code. You connect a few accounts in Make, point the log step at your tracker, and paste your details into two prompts. Plan on about 30 to 45 minutes once, and the guide walks every step.
What does it cost to run?
Two usage-based meters you control. Your own Anthropic API key bills in cents per email at solo volume, a few dollars a month for a typical inbox. Make Core covers the automation. You can slow the schedule down to lower cost or speed it up for faster triage.
Gmail or Outlook?
Both. The blueprint ships for Gmail, and the guide shows the Outlook swap, which is two modules and a connection. Everything else stays the same.
Notion or Airtable?
Whichever you already use. You get both tracker templates and pick one. The log step maps to your columns by name in about two minutes.
Can I make the drafts sound like me?
Yes. The draft prompt has a voice profile you edit, and you can paste in the profile from our Train AI in Your Brand Voice method for a tighter match. The closer that profile, the less you edit before sending.
